Key Responsibilities

General Administrative Support:

  • Manage calendars, schedule meetings, and coordinate conference rooms for R&D personnel
  • Organize travel arrangements, expense reporting, and itineraries
  • Maintain and update department contact lists, organizational charts, and documentation
  • Review and approve employee timesheet submissions
  • Sumit and track the completion of maintenance related work orders
  • Maintain a well-organized office environment, including managing supplies, equipment, and facility needs specific to a chemical R&D setting

Communication and Coordination:

  • Facilitate communication between R&D staff, other departments, and external vendors
  • Assist with onboarding new employees by coordinating IT support and distributing orientation materials
  • Monitor visitor access to Archwood buildings
  • Coordinate on- and off-site departmental events, training sessions, and workshops
  • Manage catering logistics for meetings and guest visits

Procurement:

  • Process company credit card transactions for the purchase of laboratory supplies, equipment, and office materials
  • Monitor purchase orders, invoices, and spending to maintain an approved budget
  • Track deliveries, ensure timely restocking, and oversee inventory for incoming supplies

Documentation and Inventory Support:

  • Maintain electronic and physical filing systems
  • Support data entry and record-keeping for laboratory activities
  • Coordinate with EHS to ensure proper documentation and tracking of Safety Data Sheets (SDS) for all incoming chemicals
  • Ensure confidential information is handled in accordance with company policies
Requirements

Education and Experience – Engineering Staff Admin

  • Required: High School or GED
  • Desired: associate’s degree or 4-year college degree
  • 0-2 years’ experience in records management and plant operations.
  • Experience in an engineering/environmental workplace and in a chemical manufacturing plant is preferred.
